Tech Tips


Search a web page
To quickly search through text on an Internet Explorer page, hit Ctrl and "F" simultaneously. You are given a window which allows you to type a word or phrase. Click Find Next and the word or words you typed will be highlighted throughout the document.
Underline text
To make highlighted text underlined, press “Ctrl” and “U.”
Enter current date
In Excel, press “Ctrl” and “ ; ” to enter the current date in a cell.
Subscript text
In Microsoft Word, to make highlighted text Subscript, press “Ctrl” and “=.”
Start a SlideShow
To quickly start a SlideShow in PowerPoint, press the “F5” key.
Superscript text
In Microsoft Word, to make highlighted text Superscript, press “Ctrl” and “Shift” and “=.”
Count words in a document
To determine the number of words in a Word Document, go to “Tools” and select “Word Count.”
Open Help Tips
To open up the Help in a Microsoft Office Application, press the “F1” key.
Shrink a document
In Microsoft Word, in order to fit a document on one page, go to File, Print Preview, and click on the shrink to fit button. Word will reformat document to fit on single page.
View document in 2 different views
In Word, to see the same document in two different views, click Split on the Window menu, and then choose the views you want.
Navigate to the beginning of a document
To navigate to the beginning of a document press “Ctrl” and “Home.”
Navigate to the end of a document
To navigate to the end of a document press “Ctrl” and “End.”
Italicize text
To make highlighted text italic, press “Ctrl” and “I.”
Left align text
To align highlighted text left, press “Ctrl” and “L.”
Right align text
To align highlighted text right, press “Ctrl” and “R.”
Change case
In Word, to change lower case letters to upper case and vice versa without retyping them, select the text and from the Format menu, click Change Case.
Display a black screen
In PowerPoint, to display a black screen, or return to the slide show from a black screen, press “B” or “.”
Stop or restart a slideshow
In PowerPoint, when you're running an automatic slide show, to stop or restart it, press “S” or “+.”
Make text bold
To make highlighted text bold, press “Ctrl” and “B.”
Add values
In Excel, instead of clicking the AutoSum button, you can also press “Alt” and “=.”
Center text
To align highlighted text in the center, press “Ctrl” and “E.”
View document organization
In Word, to view a document's organization and jump to different sections, on the View menu, click Document Map.
Display a white screen
In PowerPoint, to display a white screen, or return to the slide show from a white screen, press “W” or “.”
Place tab in a cell
In Word, to insert a tab character in a table cell, press “Ctrl” and “tab.”
Show the Tip of the Day
To show the Tip of the Day when an Office program starts, first open a Microsoft Office Program. If the Office Assistant is not displayed, click the Show Office Assistant on the Help menu. Right click the Office Assistant, click options, and select the Show the Tip of the Day at Startup check box.
Return to the location of the last edit
In Microsoft Word, to return to the location of the last edit, press “Shift” and “F5.”
Look up synonyms
In Microsoft Word, to look up synonyms in the thesaurus, select a word and press “Shift” and “F7.”
Justify text
To justify highlighted text, press “Ctrl” and “J.”
Quickly highlight text
To quickly highlight text, do the following: click twice to select a single word, three times to select a sentence and four times to select an entire paragraph.
Running out of space on your hard drive
Empty your Trash Bin. When you delete files, they go into the Trash Bin until you empty it. Just right-click and choose Empty Trash.
Quick Internet search
In Internet Explorer, you can enter any string of characters in an address bar and then press Ctrl-Enter; Windows will automatically add both "www" and “.com,” and then search for the page on the Internet.
Keyboard Shortcuts Part 1
Press: [CTRL]+Z to Undo, [CTRL]+X to Cut, [CTRL]+C to Copy, [CTRL]+V to Paste On the Mac, Press the Command key instead of [CTRL].
Toggle between applications
To quickly toggle between open applications, hold down the “Alt” key and press the “Tab” key.
Quickly close an application
To quickly close an application, hold down “Alt” and press the “F4” key.
Close multiple windows
To close multiple windows within an application, right click on the application’s name on the taskbar and choose Close Group.
Switch between applications
To switch between open applications, Hold “Alt” and press “Esc.”
Navigating folders
If you're navigating through folders and you want to jump quickly to the level just above the current one, use your Backspace key.
Close a document
To close a document press “Ctrl” and “W.”
Display Start Menu
To display Start Menu, Hold “Ctrl” key and press “Esc.”
Take a picture of your screen
Hold the [Alt] button and Press the [PrintScreen] button then paste into Word, Powerpoint or any graphics program.
Create a shortcut
To create a shortcut on the Desktop to a web page, right click on an empty part of the web page and select Create Shortcut.
Change default printer
To change or specify your default printer, go to Start, Control Panel and double-click on Printers and Faxes. Right-click on the desired printer and select Set as Default Printer. A checkmark will appear next to the printer icon.
Hide the taskbar
To hide the taskbar when not in use, right click on an empty spot on the taskbar, click on properties, and check the Auto-hide the taskbar box.
Navigate down a screen
To navigate down one screen press “PgDn.”
Navigate up a screen
To navigate up one screen press “PgUp.”
Redo an action
To redo an action press “Ctrl” and “Y.”
Save a document
To save a document press “Ctrl” and “S.”
Print a document
To print a document press “Ctrl” and “P.”
Open a new internet window
In Internet Explorer, to open a hyperlink in a new window, press “Shift” when you click on the link.
Open a document
To open a document press “Ctrl” and “O.”
Save an image from a website
To save an image from a website, right-click the image and choose “Save Picture As.”
Make a backup file
To make a quick backup of a file, first highlight the file and press Ctrl-C then Ctrl-V. This will, in the same folder, create a copy of the file with the prefix “Copy Of.”
Open or select files not grouped together
To open or select multiple files not grouped together, hold down the Ctrl key.
Open or select multiple files
To open or select multiple files, select a file and hold down the Shift key, you can continue to select a number of grouped files at once.
Use Internet Explorer as a file manager tool
Internet Explorer can be used as a file manager tool. Type “C:” in the address bar then hit Enter, and your files will be displayed in the window. You can even use the back button to return to the Web site.
Undo an action
To undo an action press “Ctrl” and “Z.”
